LEGAL & TRUST

Data policy.

A clear explanation of how XPERA handles information across live events, digital experiences and Studio.

Our commitment

XPERA is designed to make events more engaging, not to make personal information harder to understand. We collect only what is useful for the experience, protect it appropriately and give event teams meaningful, controlled reporting.

01

What this policy covers

This policy explains how XPERA handles information collected through xpera.live, XPERA Studio, the attendee app and single-page event experiences. An event organiser may also provide event-specific information; their event notice applies alongside this policy.

02

Information we process

This can include contact details supplied in forms or Studio access requests; event participation such as QR scans, challenge plays, votes, leaderboard scores and reward claims; device and technical information needed to operate the experience; and organiser, sponsor or vendor details used to manage an event.

03

Why we use it

We use information to deliver and secure an event experience, let participants join and complete challenges, administer rewards, support organisers and partners, measure participation and sponsor outcomes, improve XPERA, and meet legal or operational obligations.

04

Event analytics

XPERA gives organisers and approved partners aggregated engagement reporting, such as joins, challenge completions, CTA interactions and reward claims. Access is role-based: organisers manage the event workspace, while brands, sponsors and vendors see only approved activity relevant to their role.

05

How long we keep it

We retain information only for as long as needed for the event, reporting, support, legal requirements and legitimate operational records. Event organisers can set event-specific retention expectations; we will review or delete information when it is no longer needed.

06

Sharing and safeguards

We do not sell personal information. We may share information with the organiser responsible for the event, approved partners where this is necessary for the activity, and service providers that help us run XPERA. We use appropriate organisational and technical safeguards, including role-based workspace access.

07

Your choices

You may ask about the information XPERA holds about you, request correction or deletion where applicable, or raise a concern about how it is used. If your request relates to a particular event, contacting that event organiser may be the fastest route.
